WHAT INFORMATION AND DATA DO WE USE, COLLECT AND PROCESS ABOUT YOU
Information that you provide to us
This is basis personal data information that you give us by subscribing to our mailing list, or by filling out forms sent to you by us, or on our website, or when you place an order with us, or by corresponding with us by phone, email, or otherwise. The information you give us may include your name, address, email address, phone number, date of birth (if given), and financial, such as debit and/or credit card information, although after the sale has been made, no payment details are stored.
Information that we collect about you
Each time you visit our website, we will automatically collect information. This includes technical information such as your IP address, your login information, your browser type/version, your time zone setting, your browser plug-in types/versions, your operating platform or type of system, and information about your visit, such as products viewed and searched for, including URL information, and the time and date of your site visit. When you call us, our system stores the phone number used to call our customer service number, but does not record the call.
Information that we receive from other sources
This is information we receive about you from any of the other websites we have affiliation with, namely McElroy Fabrics and Lady McElroy Fabrics, i.e. when you sign up to their mailing list, or give your information to them, or place an order with them, as they operate the same shared sales order and customer database platform, and operating systems within our group company.
We work closely with third parties such as business partners, payment and delivery service providers, advertising networks, analytics providers, our contracted website provider and IT technicians, search information providers, credit reference agencies. However, should we receive information about you from such third parties, we will contact you to advise you, and for the purposes for which we intend to use such information.

Information you give to us
We will use this information to carry out our obligations to you as our customer, or to deal with and complete any contracts entered into between you and us, and to provide you with any information and services that you may request from us, and to notify you about any changes to our service or our terms and conditions.
Information we collect about you
We will use this information to monitor and regulate our website i.e. trouble-shooting, analysing data, testing and improving functions, research, feedback as regards surveys and other statistical information, and to ensure that our website remains safe and secure.
Information we receive from other sources
We will combine this information with information you give to us and information we collect about you. We will use this information and the combined information for the purposes set out above (depending on the types of information we receive).

At Lady McElroy Fabrics, we take your privacy seriously and will only use your Information as mentioned above.
If you have signed up to our mailing list, since the OPT-IN (25th May 2018 GDPR Mailchimp that we sent out prior to this date, to all our customers) then we will continue to send you our offers and promotions and any company news and updated information, as you have requested us to do so, via Mailchimp.
Please note that should you wish to unsubscribe from receiving any information, or offers and promotions, you can unsubscribe at any time, either on the Mailchimp offer you have received, or by emailing us at shop@ladymcelroy.com
WHERE DO WE STORE YOUR INFORMATION
All Information we process for you internally at Lady McElroy Fabrics is dealt with by our employed staff at our offices/warehouse in the UK. Our IT and website providers, and our website hosting, and back-up providers’ offices are all based in UK, and are secure, and do not share your information with anyone outside of our company. Our website platform is called Magento, which information is stored within, and its servers are secure by password protection.
Lady McElroy Fabrics is an ecommerce website. When you place an order with us we receive your name, email address, phone number, date of birth (if provided), and billing address and shipping address. This information allows us to process your order, despatch it to you, and make contact with you, should there be a need to.
Shipping Methods Used:
All online orders are sent out using parcel delivery companies, for example: DPD, Kuehne & Nagel, Hermes, Fedex, Royal Mail, and any third party that these companies may use, during the delivery process of your order. To print shipping labels, we need to share or input your name, shipping address and contact details into their database or labelling system. This information would be stored in the label system and company database, to allow them all the necessary information to deliver your parcel to you safely, and for us to track and trace your order through to delivery stage.
Emails:
We use Fasthosts for our McElroy Fabrics and Lady McElroy Fabrics email addresses, which end @mcelroyfabrics.co.uk and @ladymcelroy.com If you contact us by email, your email address, and the email itself, and content, will be stored on the host providers servers, and on our company computers/devices.
Mailchimp:
Mailchimp is a marketing platform, and we use it to send out our regular offers and promotions, and any other customer related, or important notifications. When you subscribe to our newsletter, we store your name, address and email address, and any other information that you choose to share with us, except for financial information, with/on the Mailchimp system.
Paypal and Worldpay Payments:
We use both Paypal and Worldpay as our ecommerce payment providers.
When you place an order with us, we receive your name, email address, date of birth (if provided), phone number, billing address and shipping address. We DO NOT store any payment details.
HOW LONG DO WE KEEP YOUR INFORMATION FOR
We are required under UK tax law to keep your basic personal data (name, address, contact details) relating to your past purchases with us, for a minimum of 7 years after which time they can be destroyed, if requested.
The Information we use to send you our offers and promotions will be kept and used by us until such time as you notify us that you no longer wish to receive this information from us.
RIGHT FOR REMOVAL
If you notify to inform us that you no longer wish to receive information from us by way of marketing material such as offers and promotions sent by Mailchimp, then this can be done either yourself by clicking ‘unsubscribe’ at any time on any of the offers you receive from us, or by emailing us shop@ladymcelroy.com outlining your request.
If you notify to inform us that you wish to be removed from our database altogether, then we will only be able to take the necessary steps to remove your account, name, email address and basic personal data from off our Magento database, and from off our marketing material such as offers and promotions sent by Mailchimp, and from off our Mailchimp database, and your email address from off all our computers and electronic devices, as we are required under UK tax law to keep your basic personal data (name, address, contact details) relating to your past purchases with us, for a minimum of 7 years after which time they can be destroyed, if requested.
We have written set internal procedures in place for the above ‘right for removal’ to take place within a maximum of 7 working days from the date of your request.
WHAT ARE YOUR RIGHTS
If at any point you wish to know which Information we are processing about you, or if you do not wish for us to process your information any longer, or if you believe the information we process about you, or of you, is incorrect, you can request to see this information and/or have it corrected or deleted by us by contacting us at shop@ladymcelroy.com
If you wish to raise a complaint on how we have handled your information, please contact us at the email address above, to have the matter investigated.
If you are not satisfied with our response or believe we are processing your Information not in accordance with the law you have the right to complain to the Information Commissioner’s Office https://ico.org.uk/
CHANGES TO OUR PRIVACY POLICY
If we make any changes to our privacy policy in the future, these changes will be updated on this page, and a date given for when this latest change took place.
The date for this Privacy Policy amendment was 25th May 2018.

The Act gives you the right to access information held about you. Your right of access can be exercised in accordance with the Act. Any access request may be subject to a fee of £25 to meet our costs in providing you with details of the information we hold about you.
